In short

We collect what we need to run Homeboard for you. We never sell your data or share it with ad networks or data brokers.

Usage analytics and personalised offers each have an off switch. You can export or delete everything, and turn texts off by replying STOP.

1.Who we are

Homeboard is operated by Inov8r Labs Inc., 3236 Donald Mackay St, Oakville, ON L6M 5K2, Canada. We’re responsible for the personal information we hold about you under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, for people in Québec, the Act respecting the protection of personal information in the private sector (as amended by Law 25).

Privacy officer: Ankita Jain, Founder, is the person in charge of protecting personal information at Homeboard. Reach her at hello@homeboard.ai, or by mail at HomeBoard (Inov8r Labs Inc.), 3236 Donald Mackay St, Oakville, ON L6M 5K2, Canada.

2.What we collect

  • Account details — your name, email and password (stored hashed), or the name and email Apple or Google share when you sign in with them. Optionally your phone number and time zone.
  • Your home — the address you enter (we look it up to confirm it and find its city and approximate coordinates), basic facts like year built and size, rooms, appliances (brand, model, serial number, purchase date and price, warranty), documents, receipts and what’s on them, photos, tasks and service history.
  • What you ask us — Ask and Diagnose conversations, and the photos you take or choose for scanning or diagnosis.
  • Pro requests and messages — the request details you approve, and your messages with pros.
  • People you invite — the email address of anyone you invite to share a home.
  • Billing — your plan, subscription status and payments. Card details are handled by Stripe; we never see or store your full card number.
  • App and device information — a random ID for your app install, notification tokens so we can send push notifications, app and operating-system version, language, and the country your connection comes from.
  • How you use Homeboard — product events such as “task completed” or “appliance added” (see Product analytics).
  • Logs — IP address, browser and error details, kept to keep the service secure and working.

We don’t access your contacts, calendar, precise device location, microphone or health data.

3.How we use it

We use your information to:

  • run Homeboard for you — organize your home, send reminders and alerts, answer your questions;
  • connect you with pros when you ask us to;
  • process payments if you subscribe;
  • keep accounts secure, prevent abuse, and fix problems;
  • personalise suggestions and offers, if you leave that setting on (see Personalised recommendations and offers);
  • improve the product, using pseudonymous product events (see Product analytics) and aggregated or de-identified data where we can.

We don’t sell your personal information, and we don’t share it with advertising networks or data brokers.

4.Product analytics

To understand which features help people and where they get stuck, our apps and website send product events to our own servers — things like “opened the app”, “added an appliance” or “sent a quote request”.

  • Events carry a random install ID and, once you sign in, your account ID. They never include your name, email, phone, address, messages, photos, document contents or serial numbers.
  • We forward these events to Amplitude and PostHog, our analytics service providers in the United States. They process them only on our behalf; we don’t let them use the data for advertising or their own purposes.
  • With the events we share a few facts about your account: when you joined, your plan, how many homes and appliances you have, whether you’re a pro, and your province and general area (for example “Oakville” or “elsewhere in Ontario”).
  • Turning it off: switch off Settings → Share usage analytics in the app, or the same switch in your account settings on the web. We then stop collecting product events from that device, delete any that haven’t been sent, and reset its install ID. We also stop forwarding events about your account to Amplitude and PostHog.
  • On the web, we treat a Global Privacy Control or Do Not Track signal from your browser as “off”.

We don’t use analytics data for advertising, we don’t sell it, and we don’t let anyone track you across other apps or websites.

5.Personalised recommendations and offers

We may use the information you give Homeboard — your home’s details, appliances, tasks and requests — to personalise maintenance suggestions and to show offers, including sponsored offers from products or local pros. Sponsored offers are always labelled.

  • This uses only information you’ve given Homeboard. We don’t buy data about you, and we don’t use information from other apps or websites.
  • It’s controlled by Settings → Personalized recommendations & offers in the app and on the web. When it’s off, you see generic suggestions only.
  • For homes in Québec, it’s off until you turn it on.
  • Advertisers and pros never receive your personal information through an offer. If you respond to one (for example, by sending a pro a request), we share only what you approve, as described below.

6.AI features

Ask, Diagnose, photo scanning, receipt reading and manual search send the relevant text, photos or documents to OpenAI, our only AI provider, to generate a response or pull out details like brand, model and price. We send your city and province, not your street address or contact details.

OpenAI processes this data on our behalf under its API terms, which don’t allow it to use the data to train its models. We send every request with storage turned off, so OpenAI doesn’t keep it for later use; it may hold requests for up to 30 days to detect abuse, then deletes them. If we add another AI provider, we’ll list it here first.

Answers are informational — see our Terms.

7.Who we share it with

  • Pros you contact — when you send a request, we send it to up to 4 local pros near you if you picked one (that pro first), or up to 7 if you asked us to find pros for you. We say so before you send it. A pro first sees the trade and your city; once they reply, they see the issue, timing, your first name and any photos or appliance details you included. Your street address goes only to a pro whose quote you accept. We never give pros your phone number or email: texts and emails go through Homeboard.
  • People you invite — members of a home you share can see that home’s information.
  • Service providers who help us run Homeboard, and may use your information only to provide their service to us:
    • Vercel (hosting) and Supabase (database and file storage)
    • OpenAI (AI features)
    • Google (address lookup and maps, local business search, Android notifications, Google sign-in)
    • Apple (Sign in with Apple, iPhone notifications)
    • Stripe (payments)
    • Twilio (text messages) and Resend (email)
    • Amplitude and PostHog (product analytics)
    • Sentry (error monitoring) and Upstash (abuse protection)
  • Lookups without your identity — to find manuals we search the web for an appliance’s brand and model; to find pros we search business listings (such as Google and Yelp) for a trade near your city; for weather alerts we ask Environment Canada about your approximate area. None of these include your name or account.
  • When required by law, or to protect someone’s safety.

We never sell your personal information or share it with advertising networks or data brokers.

8.Where your data is stored

Your data is stored and processed in the United States: our database and files (Supabase) and our servers (Vercel) run in the US East region, and our analytics providers use their US regions. Other providers listed above also process data mainly in the US. This means your information leaves Canada (and Québec), and may be accessible to courts and authorities under US law.

Before transferring it we assess the risks, choose providers with strong security, and sign contracts that limit what they can do with your data and require them to protect it. You can ask our privacy officer for more detail at hello@homeboard.ai.

9.If you’re a trade pro

We find local trade businesses through public sources such as Google and Yelp business listings. For each business we keep what we need to send it relevant job requests: business name, trade, service area, and the business phone and email it publishes. We keep notes of calls and the texts and emails we exchange for 24 months.

Every message we send identifies HomeBoard (Inov8r Labs Inc.) and includes a way to stop: reply STOP to a text, or use the unsubscribe link in an email. We honour opt-outs right away, and within 10 business days at the latest. To have your business removed from our records, email hello@homeboard.ai.

10.Email and text messages

We send service messages you need — account confirmation, password resets, receipts, reminders you set up, and replies from pros.

We may also send you tips and digests about looking after your home and new Homeboard features. Every one of these identifies HomeBoard (Inov8r Labs Inc.) and our mailing address and includes an unsubscribe link, in line with Canada’s Anti-Spam Legislation (CASL). You can also turn them off in Settings → Notifications in the app or on the web. We process unsubscribe requests right away, and within 10 business days at the latest. Unsubscribing doesn’t stop the service messages above.

Text messages (SMS). We only text you if you add a mobile number and turn texts on. Message frequency varies with your activity; message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. Opting out of texts doesn’t affect email.

11.Cookies and similar technologies

On homeboard.ai we use:

  • cookies that keep you signed in;
  • a small value in your browser’s local storage that holds the random analytics ID and your Share usage analytics choice.

We don’t use advertising cookies or third-party trackers, and no analytics provider’s code runs in your browser. If your browser sends Global Privacy Control or Do Not Track, we don’t collect product analytics from it.

12.How long we keep it

WhatHow long
Your account, homes, records, files, chats and messagesWhile your account is open. Deleted when you delete your account.
Product usage events24 months, then deleted. Events from an app install that never signed in: 13 months. Our analytics providers (Amplitude, PostHog) are set to the same periods.
Server logs30 days (our hosting provider, Vercel).
Texts, emails and call notes with pros, and delivery records24 months, to resolve disputes and prove what was sent.
Opt-out records (for example, a number that replied STOP)As long as we need them to respect the opt-out.
Payment and tax records7 years, as tax law requires. After you delete your account they’re no longer linked to you.
BackupsRoll off within 30 days.

When you delete your account, we delete or de-identify your personal information within 30 days and ask Amplitude and PostHog to delete what they hold about you, except where we must keep it longer, as shown above.

13.Your choices and rights

  • Access and export — download your home data as JSON or CSV any time from Settings → Privacy & data, in a structured format you can take to another service. Or ask us for a copy of everything we hold about you.
  • Correct — edit your profile and home details in the app, or ask us.
  • Delete — delete your account in the app (Settings → Delete account), on the web (Settings → Delete my account), or from homeboard.ai/delete-account without signing in. This removes your homes, records, files, messages and usage events, cancels any subscription, and we ask Amplitude and PostHog to delete what they hold about you. If you signed up with Apple, deleting in the iPhone app also revokes Homeboard’s access to your Apple ID. Payment records are kept as the law requires.
  • Withdraw consent — turn off notifications, texts, tips and digests, Share usage analytics or Personalized recommendations & offers, remove your phone number, or stop using a feature at any time.
  • Complain — contact our privacy officer first. You can also contact the Office of the Privacy Commissioner of Canada or, in Québec, the Commission d’accès à l’information du Québec.

To make a request we can’t handle in the app, email hello@homeboard.ai. We respond within 30 days.

14.If you live in Québec

In addition to the rights above, Québec law gives you these:

  • Privacy by default — features that profile you are off until you turn them on. For Québec homes, Personalized recommendations & offers starts off.
  • Data portability — you can ask for the personal information you gave us in a structured, commonly used technology format, sent to you or to another organisation you name. Settings → Privacy & data covers most of it; email us for the rest.
  • Transfers outside Québec — your information is stored in the United States (see Where your data is stored). We assessed the privacy impact of each transfer before making it, and our contracts require providers to protect it.
  • To be informed and to object — you can ask what information we use about you, and you can turn off product analytics and personalisation at any time. We don’t make decisions about you based only on automated processing.
  • Accountability — our privacy officer is Ankita Jain, Founder, hello@homeboard.ai.

15.Security

Data is encrypted in transit and at rest with our hosting providers, access is limited to people who need it, and we log and review access. No system is perfect; if a breach creates a real risk of significant harm, we’ll notify you and the Privacy Commissioner of Canada (and, in Québec, the Commission d’accès à l’information) as the law requires.

16.Children

Homeboard is for adults managing a home. It isn’t meant for anyone under 16, and we don’t knowingly collect their information.

17.Changes to this policy

If we make a meaningful change, we’ll update the date above and tell you by email or in the app before it takes effect.
